What is data reconciliation?

Data reconciliation compares data across systems or stages to confirm that records and totals match.

It answers a simple question: does the data in system B match what system A sent? Reconciliation compares row counts, sums, keys and samples, and explains any differences.

It is a core control in finance, insurance and logistics, where mismatched records have real financial consequences.

Example

Each night, payment records in the ledger are reconciled against the payment provider’s settlement report, and any unmatched transaction is flagged for review.

Best practices

  • Define which totals must always match
  • Reconcile at each pipeline stage
  • Investigate and explain every difference
